Privacy Policy
What we collect, why, who else sees it, and what you can ask us to do about it.
Effective August 4, 2026. This policy replaces the version dated February 24, 2025.
This policy covers accurateairsolutionsllc.com and the ways you reach us through it: the request form, the chat window, email, and the phone numbers published on these pages. It explains what we collect, why, who else sees it, and what you can ask us to do about it.
Information you give us
- Service and quote requests. Your name, company, phone number, email address, city, the service you need, and whatever you tell us about the job.
- Chat. Anything you type into the chat window, including contact details you share there.
- Calls and email. What you tell us directly.
- Work records. If we do work for you: site and equipment details, access instructions, purchase order and billing information, and the service history of your equipment.
Information collected automatically
When you use this site, our analytics and chat tools collect your IP address, the approximate region derived from it, browser and device type, the pages you view, the links and buttons you interact with, the site or search that referred you, and timestamps. Some of this is stored using cookies and similar identifiers.
Two things most privacy policies bury
We would rather you read these than find them out later.
We may identify you without you filling anything out
Our marketing platform, WundertreOS (Ardament), runs a visitor identification service. It compares site activity against third-party business and consumer databases and, when it finds a match, creates a record in our CRM — a company name, a contact name, or business contact details — even though you never submitted a form. Most matches are businesses rather than individuals. You can ask us to delete any record about you, including one created this way: see Your choices and rights.
Calls to the numbers on this site are recorded and transcribed
We use call tracking, so a number shown on a given page may be a routing number tied to a marketing source rather than a direct desk line. Your call connects to our office as normal. Inbound calls are recorded, converted to a written transcript, and summarized automatically, and those records are stored in our CRM. We use them to dispatch, quote accurately, resolve disputes about what was agreed, and train our coordinators. Texas law permits this with one party’s consent, which is ours; we are telling you anyway. If you would rather not be recorded, use the request form or email Info@accurateairsolutionsllc.com instead of calling.
Why we use this information
- To answer you, quote the work, and dispatch a technician.
- To perform, schedule, invoice, and warranty the work.
- To follow up on an open request or quote.
- To send service reminders and occasional marketing to customers and people who have contacted us — you can stop these at any time.
- To measure which marketing actually produces calls, and to attribute a lead to the page, ad, or search that sent it.
- To keep the site and our accounts secure, prevent fraud and spam, and meet legal, tax, and licensing obligations.
Cookies and the consent banner
The banner you see on your first visit lets you accept or decline the non-essential cookies. Cookies needed to make the site work and to keep it secure are always on. Analytics and marketing cookies run only if you allow them. Your browser also has its own controls for blocking or clearing cookies; blocking all of them may break the chat window. To change a choice you already made, clear this site’s cookies in your browser, or email us and we will handle it on our side.
If your browser sends a Global Privacy Control (GPC) signal, our analytics tool reads it and reports it with the visit. If you send GPC and want to be certain nothing about you is retained, email us and we will confirm in writing.
Who else sees your information
We do not sell your personal information for money. We share it in these situations only:
- Service providers working on our behalf, under contract. WundertreOS (Ardament) for our CRM, site analytics, visitor identification, chat, and call tracking and recording; its telephony provider for call routing, recording, and text messaging; Cloudflare, which hosts and serves this site; and the lead-routing service that delivers your form submission to a coordinator.
- Google. These pages load their typefaces from Google’s font servers, so Google receives your IP address as part of delivering them.
- Subcontractors, suppliers, and manufacturers when your job requires it — a warranty claim, a part order, a specialty crew.
- First Financial Bank, if you follow the financing link on our site. The application is on their site, under their privacy policy and terms. We do not receive or store your application.
- When the law requires it — a subpoena, a court order, a regulator, or to protect someone’s safety or our legal rights.
- A successor, if the business is sold or reorganized. This policy would follow the information.
We may also use contact information we already hold to build audiences for our own advertising on third-party platforms. Some state privacy laws call that “targeted advertising” or “sharing” even though no money changes hands, so we are disclosing it, and you can opt out below.
Text messages
If you check the box on our form, or otherwise give us your mobile number and ask us to text you, we may send messages about your request or job — arrival windows, quotes, scheduling, and follow-up. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop them and HELP for help. Consent to texts is never required to get service from us. Mobile phone numbers and text-message consent are not sold, rented, or shared with third parties for their own marketing.
Your choices and rights
Anyone can ask us to do the following, whatever state you live in:
- Tell you what we have about you, and where it came from.
- Correct anything that is wrong.
- Delete it, including a record created by visitor identification.
- Send you a copy in a portable format.
- Opt out of targeted advertising, of any sharing a law treats as a sale, and of automated profiling used to make decisions about you.
- Stop marketing — unsubscribe in any email, reply STOP to any text, or just tell us.
We will not deny you service, charge you more, or give you worse service for exercising any of this.
How to ask. Email Info@accurateairsolutionsllc.com with the subject “Privacy Request,” or call 888-811-3449. We may need to verify who you are before we act, and we may ask for enough detail to find your records. We respond within 45 days and will tell you if we need a further extension the law allows. An authorized agent may act for you with written permission we can verify.
If we say no. Reply to our answer with the word “Appeal” and a person will review it. Texas residents whose appeal is denied may submit a complaint to the Texas Attorney General at texasattorneygeneral.gov.
California residents have these same rights under the CCPA as amended, including the right to know the categories of information collected, disclosed, and shared, all of which are listed above.
If you are outside the United States
We are a Texas contractor and we serve Texas. Our systems are operated in the United States, so information you send us is processed here. If you are in the European Economic Area or the United Kingdom and contact us anyway, we rely on your consent for marketing, on the necessity of performing a contract for work you ask us to do, and on our legitimate interest in running and securing this site for the rest. You may ask us to access, correct, delete, or export your information, or to withdraw consent, using the contact details below.
How long we keep it
How long depends on the record. Customer and job records stay as long as we serve you and afterward for as long as tax, warranty, licensing, and limitations periods require. Inquiries that never became jobs, along with call recordings, transcripts, and chat logs, are kept while they are useful for follow-up and quality review. When you ask us to delete your information we do, except for records we are required to keep or that we need for an active dispute — and we will tell you if that is the case.
How we protect it
Access to our CRM is limited to employees who need it and is protected by individual accounts. Our site is served over HTTPS. Our platform vendors maintain their own security programs. No system is perfect, and we will not tell you ours is — if we ever learn of a breach affecting your information, we will notify you as the law requires.
Children
This is a commercial and industrial contracting site. It is not directed to children, and we do not knowingly collect information from anyone under 13. If you believe a child has sent us information, email Info@accurateairsolutionsllc.com and we will delete it.
Links to other sites
We link to manufacturers, our financing partner, our own Google Maps profiles, and the sites for our Hawkins Mechanical & Air and Double R Plumbing brands. Once you leave this site you are covered by that site’s policy, not this one.
Changes to this policy
If we change how we handle information we will update this page and the effective date at the top. If a change is significant, we will say what changed rather than leave you to diff it.
